policy
How we handle personal data on this website, in plain language.
1. Who is responsible
The controller for this website within the meaning of the GDPR is:
ROASWELL
Email: hello@roaswell.com
2. Hosting and server log files
This website is hosted by our hosting provider. When you visit it, the server automatically records technical data in log files: your IP address, the date and time of the request, the page requested, the referring page, and your browser and operating system type.
This is necessary to deliver the website securely and reliably. The legal basis is our legitimate interest under Art. 6(1)(f) GDPR. Log files are kept only as long as needed for security and operation and are then deleted.
3. Contact form and email
If you use the contact form, we process the details you enter (name, email address, company if given, and your message) together with your confirmation of consent, in order to answer your enquiry. The legal basis is your consent under Art. 6(1)(a) GDPR and, where the enquiry concerns a contract or pre-contractual steps, Art. 6(1)(b) GDPR. You can withdraw your consent at any time with effect for the future.
If you write to us by email, we process your email address and the content of your message on the same basis.
The form contains a hidden field and a rate limit to protect against automated misuse. The rate limit briefly keeps your IP address in memory and does not store it permanently.
4. Storage in our CRM
Enquiries are stored in the customer relationship management system (CRM) that ROASWELL operates on its own infrastructure. We do not pass your data to third parties for their own purposes. Service providers that process data on our behalf, for example hosting, are bound by data processing agreements under Art. 28 GDPR.
5. No tracking, no cookies, self-hosted fonts
This website does not use cookies, analytics, advertising pixels or social media plug-ins. Fonts are served from our own server, so no data is sent to Google or other font providers. Your browser’s session storage is used only to remember your scroll position while you browse. It contains no personal data and ends with your session.
6. External links
This website links to other sites, for example our client portal and, where offered, an external booking page. Once you follow such a link, the privacy policy of that site applies. We have no influence over how those sites process data.
7. Retention
We keep enquiry data only as long as needed to handle your request and any follow-up questions. Longer retention applies only where statutory retention duties require it. You can ask us to delete your data at any time (see below).
8. Your rights
Under the GDPR you have the right to:
- access the personal data we hold about you (Art. 15)
- have inaccurate data corrected (Art. 16)
- have your data erased (Art. 17)
- restrict processing (Art. 18)
- receive your data in a portable format (Art. 20)
- object to processing based on legitimate interests (Art. 21)
- withdraw consent at any time (Art. 7(3))
To exercise these rights, write to hello@roaswell.com. You also have the right to lodge a complaint with a data protection supervisory authority, in particular in the EU member state of your residence, workplace or the place of the alleged infringement.
9. Changes
We may update this policy when the website or legal requirements change. The current version is always available on this page.
